How to use AI to hire staff: a practical guide for Australian small businesses

Hiring is one of the most time-consuming jobs for an Australian small business owner. This practical guide shows how free AI tools can write your job ads, screen applications and prepare interviews, so you hire better people in half the time.

How to use AI to hire staff: a practical guide for Australian small businesses

If you run a cafe in Newcastle and summer is coming, you know the drill. You need two casuals before the Christmas rush. Writing the job ad takes an evening. Then 70 applications land in your inbox, and 50 of them are useless. You are flat out, so you skim, guess, and hire the first person who seems fine. Then you cross your fingers.

Hiring is one of the most expensive admin jobs a small business owner does, and most of the work happens before the new person even starts. The good news is you do not need an HR department or a recruitment agency to fix it. Free AI chatbots can write your job ad, turn it into interview questions, and help you sort through the pile of applications. You still make the final call. The AI just does the donkey work.

Step 1: Write the job ad with AI

Open ChatGPT or Claude and paste in a prompt like this:

Write a job ad for a casual barista in Newcastle. Shifts are Friday to Sunday, 6am to 1pm. Pay is above award with penalties. We need someone with at least one year of experience and a friendly manner. Keep it to 150 words and finish with three bullet points on what we offer.

Give it the exact role, hours, location and pay. Ask for a short ad, because long ones get skimmed. If you are unsure about casual employment rules or the right award rate, the Fair Work Ombudsman's website (fairwork.gov.au) has plain-English tools that cover both.

Step 2: Turn the ad into interview questions

Ask the AI for questions based on the ad. Give me 10 interview questions for a casual barista, including two that reveal how someone handles a busy Saturday rush. Pick the five you like best, then add your own questions about the things only you know, such as how your team runs the till or how tips get split.

Step 3: Screen applications without the guesswork

Copy each application into the chatbot, but remove the applicant's name, address and phone number first. Ask: Does this person meet the must-haves? Rate them 1 to 5 and list any gaps. Keep the scores in a spreadsheet and compare them side by side. This turns an hour of squinting at CVs into ten minutes of copying and pasting.

Never let the AI make the decision on its own. Australian anti-discrimination law requires you to hire on the ability to do the job, not age, gender, nationality or anything else. Treat the chatbot as a filter that flags candidates for you to review, not a judge.

Step 4: Keep candidates in the loop

People hate being ghosted, and when you are busy it is easy to forget to reply. Ask the AI to draft short update messages, such as: Write a polite email telling an applicant we have filled the role and thanking them for applying. A two-minute prompt saves you the awkwardness, and your business keeps a good reputation with the people you did not hire. Word gets around in a small town.

A real example

A plumber in Geelong needed a part-time office person to answer phones and book jobs. He spent two evenings writing an ad he hated. Instead, he gave ChatGPT the basics and had a clean ad in 20 minutes. When 45 applications came in, he ran each one through the same screening prompt and shortlisted nine people in about an hour. He interviewed four and hired one. Total time was under a day, spread across a week, instead of two weeks of evenings.

The limits are worth knowing

Free AI tools are good at drafting and sorting, but they are not perfect. They can miss context, and they should never see sensitive details like tax file numbers or bank accounts. Keep resumes anonymous before you paste them in, and check what the chatbot writes before you send it to anyone. For a deeper setup, such as a hiring inbox that sorts applications automatically, Triweb AI can build that for you. We create chatbots and automated workflows for Australian small businesses, so you can focus on running yours.

Start this week

AI will not hire your next staff member. But it can cut the busywork from days to hours, and the free tools cost nothing to start. Write one job ad with AI this week and see how it feels. By the time the rush arrives, you will have a better shortlist and a few evenings back.
